1Who we are

This website and our events are operated by Konflict Records Ltd (“Konflict”, “we”, “us”, “our”), a company registered in England and Wales under company number 10419218, with its registered office at 163 Squirrels Heath Road, Romford, England, RM3 0NS.

We are the data controller responsible for your personal data. If you have any questions about this policy or how we handle your data, contact us at info@konflictrecords.com.

This policy explains what personal data we collect, how we use it, who we share it with, and the rights you have. It applies to our website, our sign-up and RSVP forms, our ticketed events, and our marketing.

2The personal data we collect

Depending on how you interact with us, we may collect:

• Identity data: your first name and surname.
• Contact data: your email address and phone number.
• Booking and RSVP data: the events you sign up for, RSVP to, or buy tickets for, and your ticket type.
• Marketing preferences: whether you have chosen to receive, or opted out of, marketing about future events.
• Technical and usage data: information collected automatically when you visit our website or interact with our ads, including device, browser, and activity data collected through cookies and similar technologies (see section 7).
• Images and footage: photographs and video taken at our events in which you may appear.

We do not intentionally collect special category data (such as health or political data). Please do not send us such information.

3How we collect your data

We collect personal data when you:

• Sign up or RSVP to an event through our sign-up partner, Hiipe.
• Buy a ticket to one of our events through our ticketing partner, DJ Tickets (DJ Mag).
• Contact us, or interact with us on social media.
• Browse our website or engage with our advertising, via cookies and pixels.
• Attend one of our events, where photography and filming take place.

4How we use your data and our legal bases

Under UK data protection law we must have a lawful basis for using your personal data. We rely on the following:

• To fulfil your booking or ticket order and get you the information you need for an event you have signed up for or booked (for example, entry details and updates). Legal basis: performance of a contract, and our legitimate interest in running our events.
• To send you marketing about future Konflict events, by email or other channels. Legal basis: your consent, which you can withdraw at any time. Where you have bought a ticket from us, or asked us about doing so, we may instead rely on the “soft opt-in” to market our own similar events. We give you a way to opt out both when we collect your details and in every message we send.
• For advertising and analytics, including creating audiences on Meta (Facebook and Instagram) from your contact details, showing our ads to you or to people similar to you, and measuring how our ads perform using the Meta pixel. Legal basis: your consent where required, and otherwise our legitimate interest in promoting our events.
• To photograph and film our events and use that material to promote Konflict and our future events. Legal basis: our legitimate interests in promoting our events, balanced against your interests and rights. You can object at any time (see section 9).
• To keep records, ensure security, and comply with legal obligations. Legal basis: legal obligation and legitimate interests.

5Who we share your data with

We share personal data with trusted third parties who process it on our behalf, or who act as controllers in their own right:

• Hiipe: our sign-up and guest-list partner, which collects and manages RSVP and sign-up data.
• DJ Tickets / DJ Mag: our ticketing partner, which processes ticket purchases and buyer data. DJ Tickets has its own privacy policy governing its handling of your data.
• Meta Platforms (Facebook and Instagram): where we upload hashed contact details to create advertising audiences, and where the Meta pixel measures our ads. See section 6.
• The venues at which we hold events: where we need to share guest list, booking, or accessibility information so that you can be admitted.
• Our email marketing provider: to send you communications you have consented to, or which we are permitted to send you under the soft opt-in.
• Professional advisers, and authorities where required by law.

Some of these providers, including Meta, are based outside the UK. Where your data is transferred internationally, we take steps to ensure it is protected by appropriate safeguards, such as UK-approved standard contractual clauses.

6Meta pixel and custom audiences

We advertise our events on Facebook and Instagram. To do this we may:

• Upload your email address and phone number to Meta in hashed (scrambled) form, so Meta can match it to accounts and show our ads to you, exclude you from ads that are not relevant, or find new people with similar interests. Meta does not receive your details in readable form.
• Use the Meta pixel on pages such as our ticketing pages to understand how people respond to our ads.

You can control this. You can withdraw consent to marketing at any time (see section 9), and you can adjust your ad preferences directly in your Facebook and Instagram settings.

7Cookies and similar technologies

Our website and our advertising use cookies and similar technologies, including the Meta pixel, to make the site work, understand how it is used, and measure our advertising. Where required, we will ask for your consent before setting non-essential cookies. You can manage cookies through your browser settings.

8How long we keep your data

We keep your personal data only for as long as we need it for the purposes set out above. In practice, we keep booking and RSVP records for as long as needed to run the event and for our records afterwards, and we keep marketing contacts until you unsubscribe or ask us to delete your data.

9Your rights

Under UK data protection law you have the right to:

• Access the personal data we hold about you.
• Ask us to correct inaccurate data.
• Ask us to delete your data.
• Object to, or ask us to restrict, our use of your data.
• Ask us to transfer your data to another provider.
• Withdraw your consent to marketing at any time, including by using the unsubscribe link in any marketing email.
• Complain to the Information Commissioner’s Office (ICO) at ico.org.uk if you are unhappy with how we have handled your data.

10Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last updated. If we make significant changes we will take reasonable steps to let you know.
